Front Office Supervisor

LOCATION: Wayland Baptist University (WBU) – Hawaii Campus 

DEPARTMENT: N/A           

SUPERVISED BY: Assistant Executive Director/Campus Dean 

POSITION CLASSIFICATION: Non-Exempt 

POSITIONS SUPERVISED: Front Office Assistant

GENERAL RESPONSIBILITIES:  The Front Office Supervisor (FOS) is responsible for greeting and assisting students, faculty, and staff members. In addition, the FOS is responsible for verifying if classrooms and restrooms have been well maintained by custodian services. The FOS is also responsible for the scheduling and administration of tests and exams in the testing center. 

SPECIFIC TASKS AND DUTIES: 

  1. Answer telephone calls as first responder, address concerns, or send calls to appropriate staff member; coordinate telephone answering with staff to assure full telephone coverage
  2. Greet office visitors in reception area, assist with need to visitor, or refer to appropriate staff member
  3. Supervise testing room, including exams scheduling and maintain security of all tests
  4. Assist faculty members with copying, collating, and preparing for classes; provide channel of communication and assistance for faculty needs
  5. Responsible for organizing and maintaining order in copy room
  6. Proctor exams for faculty; maintain files for graded exams, research papers and other materials for return to students
  7. Coordinate repairs/maintenance with plumbers, air conditioning maintenance, carpenters, and other trade workers
  8. Maintain and process files of final exams
  9. Sort and distribute mail; send outgoing mail on daily basis; coordinate bulk mailings
  10. Responsible for order and cleanliness of front lobby area; supervise cleanliness and order of all classrooms at the local campus, including break areas; supervise cleaning personnel on a weekly basis
  11. Organize classrooms as needed for special events
  12. Monitor and maintain copy machines
  13. Assist with distribution of graduation gowns and materials
  14. Order and maintain supplies for office; reorder supplies as needed and maintain order and neatness of supply closet. Forward the purchase request list to the Assistant Dean when necessary
  15. Assist with early registration events; greet incoming students and help answer their questions; give directions to various campus locations
  16. Some weekends and evenings required

MINIMUM QUALIFICATIONS:

Education, Certification and License:

  1. Associates Degree is required
  2. Bachelor Degree is preferred

 Experience and Knowledge:

  1. Two (2) years general office experience
  2. Knowledge of administrative and clerical procedures and systems such as word processing managing files and records, designing forms, proper business letter formats, envelope addressing, and other office procedures and terminology

Skills and Abilities:

  1. Proficient in operating a personal computer and in using a variety of software applications; particularly Microsoft Word, Excel, and, PowerPoint
  2. Excellent customer service
  3. Good verbal and written communication skills
  4. The ability to listen to and understand information and ideas presented through spoken words and sentences
  5. The ability to communicate information and ideas in speaking so others will understand
  6. The ability to bend, stretch, twist, or reach with your body, arms, and/or legs

Physical Demands & Working Conditions:

The FOS is expected to handle long periods of standing, sitting, kneeling, bending, & stooping, including the ability to lift approximately forty pounds to waist level, transporting boxes, physical dexterity, and coordination. The FOS is expected to be environmentally controlled, close attention to detail, exact or accurate, and perform repetitive motions and tasks. The individual is expected to have own transportation to and from work. Incumbent is paid for a forty-hour week but works thirty-seven and one half hours.

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period (90 days) to monitor employee performance. When hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Naturalization Services. Employee must be able to travel. Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license. Must have and maintain a satisfactory driver’s record.
