Administrative Assistant

LOCATION: Wayland Baptist University (WBU) – Anchorage Campus (Parkside) 

SUPERVISED BY: Executive Director/Campus Dean 

POSITION CLASSIFICATION:  Non-Exempt 

POSITIONS SUPERVISED BY:  None 

GENERAL RESPONSIBILITIES: The Administrative Assistant provides professional and courteous contact with faculty members, students, and other customers to the WBU-Anchorage Campus/Parkside location; supports all administrative and academic needs of the Executive Director.                                                                                                                                                               

SPECIFIC TASKS AND DUTIES: 

  1. Answer telephones and direct calls to appropriate staff.
  2. Provide friendly customer service at the front desk as needed.
  3. Maintain current faculty electronic data bases.
  4. Schedule appointments for the Executive Director.
  5. Assist with office secretarial needs: written correspondence, course evaluations, term schedules, etc.
  6. Distribute and collect course evaluations.
  7. Oversee syllabus development and submission; maintain syllabi in electronic data base system.
  8. Assist with graduation.
  9. Develop and process adjunct faculty contracts and payroll authorizations.
  10. Coordinate faculty meetings and Advisory Council sessions and activities.
  11. Assist with registration and book sales.
  12. Receive student payments.
  13. Process registrations, student incompletes, and add/drops.
  14. Coordinate communication with Virtual Campus.

MINIMUM QUALIFICATIONS:

Education:

High School Diploma or GED.

Experience and Knowledge:

  1. Customer service experience.
  2. Experience in a professional office setting.

Skills and Abilities:

  1. Must possess excellent customer service skills.
  2. Possess strong administrative skills.
  3. Ability to juggle multiple tasks is essential.
  4. Demonstrate commitment to the mission of the university.
  5. Possess good PC skills and experience in Microsoft Word, Excel, Access and PowerPoint.
  6. Possess good verbal and written communication skills plus good listening skills.
  7. Must be detail-oriented and have good organizational skills.
  8. Understand and interpret personnel policies and procedures.
  9. Ability to prioritize tasks. Flexible and available to work extended hours as needed.
  10. Follow directions and work cooperatively with others.

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel and teach at external campuses.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
