LOCATION: Wayland Baptist University – Plainview Campus
REPORTS TO: Director of Financial Services
POSITION CLASSIFICATION: Exempt
POSITIONS SUPERVISED: Student Financial Accounts Coordinators (2), Business and Finance Assistant (1), Accounts Receivable Specialists (2)
GENERAL RESPONSIBILITIES: Provides leadership and guidance for all matters related to student financial services, including delivering accurate bills, managing and collecting outstanding balances, verifying credit balances and issuing refunds. The position is responsible for students in Plainview, WBU Online, and the External Campuses. Working closely with the offices of Financial Aid and the Registrar, the position is responsible for ensuring that student accounts are accurate, invoices are delivered timely, and receivables are managed effectively.
SPECIFIC FUNCTIONS AND RESPONSIBILITIES:
- Coordinate the issuance of student invoices for each academic term, ensuring that charges and aid are accurate based on the information at the time.
- Oversee the use of PowerCampus or other student information system to ensure the systems are generating correct charges, codes and policy changes are updated timely, and processes are running as efficiently as possible.
- Supervise the collection of student receivables, assist with communications regarding past due balances, and apply University collection policies to achieve positive outcomes.
- Monitor receivables that have been sent to collection agencies.
- Manage the process for verifying and refunding credit balances.
- Serve as liaison to vendor partners helping deliver student financial services, currently Meadow and Transact; and those to be engaged in the future.
- Participate in the selection and implementation of a new student information system.
- Draft, develop, update and communicate student financial services policies.

MINIMUM QUALIFICATIONS:
Education: (1) Associate’s or Bachelor’s degree in Business, Accounting, Applied Science, or other field of study with focus on operations, systems and processes, OR (2) demonstrated career progression and success in a similar position.
Experience and Knowledge:
- Minimum of four-year’s experience in a similar position, serving constituents (e.g. students, patients), managing receivables, and working with complicated billing systems.
- Experience at a private institution of higher education is preferred but not required.

- Possess excellent verbal and written communication skills.
- Have strong computer skills, expertise in Excel, Word, data analysis and systems operations.
- Must have the ability to work independently with minimum supervision; to supervise and delegate appropriately, to take the initiative in assuming and completing tasks with the appropriate direction and advice from immediate supervisor.
- Be honest, reliable, collegial, and accurate.
- Must have a commitment to Christian higher education in general and the purpose and philosophy of higher education as promoted by the Baptist General Convention of Texas in general and of Wayland Baptist University in particular.
CONDITIONS OF EMPLOYMENT:
Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel and provide recruitment assistance to external campuses. Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license. Must have and maintain a satisfactory driver’s record.
