External Registration Coordinator and VA Certifying Officer

LOCATION: Wayland Baptist University (WBU) – Plainview Campus

Manager and University Registrar

POSITION CLASSIFICATION: Non-Exempt

POSITIONS SUPERVISED: None

GENERAL RESPONSIBILITIES: The External Registration Coordinator, VA Certifying Officer is a full-time position. Responsible to the Registrar and/or Associate Registrar/Office Manager or Registration/VA Certification Coordinator for activities assigned. The External Registration Coordinator is responsible for representing Wayland to all of the University's public in a positive manner.

SPECIFIC TASKS AND DUTIES:
1. Responsible for all External campus and online registration processes and grades (this includes          adds/drops and withdrawals) as well as online class registration for Plainview students.

2. All External Section Schedules’ quality control/supervision.

3. Generates directed study course sections for external and online students.

4. Assists registrar in monitoring section schedules for cross-tallied/stacked courses, special topics        and subtitles for approval purposes.

5. Trains external campuses on policy, processes and procedures in conjunction with the                        management team.

6. Monitors student schedules to ensure correct core courses are taken.

7. Prompts campuses regarding dates and deadlines to ensure compliance.

8. Generates reports and applies term date awards (probation, suspension, president’s and dean’s        list).

9. Monitors/maintains class rosters, Census, grades, and end-of-session/term processing

10. Responsible for opening/closing registration and grade posting access for advisors/faculty.

11. Assists faculty and external campus personnel in the process of grade changes

12. Certifies and works with all students who are applying for Veteran benefits on the Plainview,              Lubbock, Amarillo and WBU Online campuses.

13. Annual VA Application submission of academic catalog/program for approval as well as bi-annual        preparation for VA audits

14. AVECO and other VA conference attendance/participation

15. Serves as back-up for the Plainview registration coordinator and assists with quality review for          end-of-term award posting for Plainview/Online students.

16. Assists with Plainview graduation ceremonies

17. Answers phone and assists with walk-in students as needed

18. Responds to other directives of the registrar

MINIMUM QUALIFICATIONS: A commitment to Christian Higher Education and in agreement with the purposes and philosophy of Christian Higher Education as promoted by the Baptist General Convention of Texas generally, and Wayland Baptist University particularly.

Education:
1. High School Diploma required
2. Some college work preferred; however, proven office experience in a professional environment may be considered in lieu of college experience

Experience and Knowledge:
1. Two (2) years experience in an office setting
2. Two years of computer experience and typing skills
3. Experience meeting with the public and working well with others

Skills and Abilities:
1. Outstanding communication skills, both written and oral
2. Meticulous attention to detail
3. Good computer skills
4. Ability to learn and retain vast amounts of information from a wide variety of sources
5. The ability to deal diplomatically with students, faculty, and staff
6. Punctuality, dependability, integrity, honesty and loyalty in the performance of duties of the              position
7. A positive force in the office by portraying a positive attitude toward other office personnel, in            phone conversation and in greeting students, faculty and staff members

CONDITIONS OF EMPLOYMENT:
Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel. Must be able to operate a licensed motor vehicle and possess a valid state driver’s license or have access to reliable transportation. Must have and maintain a satisfactory driver’s record.
